1. Who is responsible for your data
Stratis Money Service Ltd, trading as Guest-Bookings, is the data controller for personal data collected through guest-bookings.com. Company no. 14607432, registered office 3rd Floor, 86–90 Paul Street, London EC2A 4NE. For anything in this policy, contact [email protected].
2. What we collect
- Booking details — guest names, your email address and phone number, stay dates, room and rate selected, and any remarks you add to a booking.
- Payment details — handled by our payment processor, Stripe. We never see or store your full card number; we keep the card brand and last four digits so we can show you which card was used.
- Site preferences — such as your chosen display currency and an approximate country used to suggest one.
- Advertising click data — if you arrive from a Google ad, a click identifier (gclid) so we can tell Google the click led to a booking.
- Support correspondence — emails you send us.
3. Why we use it (and the legal basis)
| Purpose | Legal basis |
|---|---|
| Taking, confirming, changing, and cancelling your booking; sending your confirmation email; charging and refunding your card | Performance of a contract |
| Passing guest and stay details to the hotel and our travel-supply partner so the hotel can honour the booking | Performance of a contract |
| Fraud prevention and payment security checks | Legitimate interests / legal obligation |
| Measuring advertising performance (reporting a completed booking against an ad click) | Legitimate interests |
| Responding to support requests and complaints | Legitimate interests / performance of a contract |
We do not send marketing emails, and we do not sell personal data.
4. Who receives your data
- The hotel you book — guest names and stay details, so it can honour your reservation.
- Emerging Travel Group (RateHawk) — our accommodation supply partner, which transmits the booking to the hotel. Depending on the hotel's location this can involve transfers outside the UK, made with appropriate safeguards.
- Stripe — payment processing (Stripe is the recipient of your card details directly; see Stripe's own privacy policy).
- Resend — the service that delivers our booking emails.
- Google — advertising click measurement only (the gclid described above), where you arrived via a Google ad.
- Microsoft Azure and Cloudflare — hosting and content delivery infrastructure for the site and its database.
5. How long we keep it
Booking records are kept for as long as needed to service the booking and then for up to 6 years, in line with limitation periods for contractual claims and accounting requirements. Support correspondence is kept for up to 2 years after the matter is closed. Advertising click identifiers are kept no longer than 90 days after the stay completes.
6. Cookies and similar technologies
The site uses a small number of first-party cookies and browser storage: to keep you signed in to Manage-your-booking, to remember your display-currency choice, to carry an in-progress booking between pages, and to hold the advertising click identifier described above. We do not run third-party advertising or social-media trackers on the site. Payment pages load components from Stripe, which sets cookies necessary for secure payment and fraud prevention.
7. Your rights
Under UK data-protection law you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to our processing of it, and to data portability. To exercise any of these rights, email [email protected] — we respond within one month. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
8. Security
Data is encrypted in transit, access to production systems is restricted and credential-controlled, and card details are handled entirely by Stripe, a PCI-DSS Level 1 certified processor.
9. Changes to this policy
We will post any changes on this page and update the date at the top. Significant changes affecting an existing booking will be notified to the email address on the booking.
